Free Meeting Minutes Template
This is the exact template I use, every meeting, without exception. Attendees, decisions, actions, next steps, laid out so I’m not thinking about structure while someone’s still talking.
Duplicate it for each meeting and save it under the meeting name and date. No signup, no email required.
What’s in it
| Section | What goes in it |
|---|---|
| Meeting details | Meeting name, date, time, location or format, chair, and who took the minutes |
| Attendees | Full name and role, one row each |
| Apologies | Anyone who sent them |
| Decisions | What was agreed, one line each |
| Actions | The action, its owner, and a deadline |
| Next meeting | Date and time, if they were set |
| Circulation | Who the draft went to, when, and who approved it |
Most people leave the circulation section out. It is the one that saves you later, because it records who saw the draft and who approved it.
What it looks like filled in
An ordinary hour-long team meeting, written up. Nothing here is complicated, which is rather the point.
| Meeting | Operations Team Meeting |
| Date | 14 May 2026 |
| Time | 10:00 to 11:00 |
| Location / format | Microsoft Teams |
| Chair | Priya Nair |
| Minutes taken by | Erin |
Attendees
| Name | Role |
|---|---|
| Priya Nair | Operations Manager |
| Tom Whitfield | Finance |
| Sarah Doyle | Customer Services |
| David Okonjo | Facilities |
Apologies: Helen Marsh (Procurement)
Decisions
| The revised returns policy was approved, effective 1 June. |
| The supplier review was deferred to the July meeting. |
| It was agreed not to extend Saturday opening at this stage. |
One line each, in plain terms. A decision that needs a paragraph to explain usually has not been made yet.
Actions
| Action | Owner | Deadline |
|---|---|---|
| Confirm the revised budget with Finance | Tom Whitfield | 21 May |
| Circulate the approved returns policy to all staff | Sarah Doyle | 28 May |
| Obtain three quotations for the replacement printers | David Okonjo | 6 June |
Each action starts with a verb and names an outcome, so the owner knows what “done” looks like. “Tom to speak to Finance” would not have been enough. There is more on that in recording meeting actions properly.
Next meeting: 11 June 2026, 10:00
Circulation: draft circulated to all attendees on 16 May 2026. Approved by Priya Nair, 11 June 2026.
That is the whole of it. Copy the structure straight off this page if you would rather not download anything.
Why I still use this
After years taking minutes in rooms where the stakes were real, this is what’s left once everything unnecessary got stripped away. It’s not clever. It just means I never have to think about the shape of the document, only what’s actually being said.
If you’re brand new to this, my quick-reference checklist covers what to do in the room itself. This is what I open once I’m there.
Hope it’s as useful for you as it has been for me.
